The Football Forum (hereafter “the TFF”, “we”, “us” or “our”) is committed to protecting the privacy and security of the personal information that is provided to us or collected by us during the course of our activities. 1. Who is responsible for your personal information?

2. How we collect and use your personal information and the legal bases thereof
The collection and use of your information will always have a lawful basis, either because it is necessary to fulfil a contract with you, because it is necessary in connection with a legal obligation, because you have consented to our use of information or the organisation you work for has obtained your consent (where necessary) to share your information with us or because we have a legitimate interest in the processing of your personal information which is not overridden by your interests or your rights and freedoms. Where we rely on legitimate interests, the latter is necessary for promoting our activities, improving our services and ensuring effective operational management and internal administration of TFF and the exercise of your rights.

2.1 Use of our website
We collect, store and process certain personal information when you visit our website, and we use cookies on our website.
Our website server automatically processes and collects information about your access when you visit the website, regardless whether you are a registered user or just by browsing our website. We may collect information such as the browser you used, your internet protocol (IP) address which identifies your computer, the date and time of the access, the referring website and the page you visited. We may also collect information about your location, and your online activity on our platform.
We use cookies to collect information when you access our website or through the online forms on our website, in particular to ensure the proper functioning of our website, for online application tools and for marketing communication purposes.
Cookies are small text files that are placed in browser directories on your computer or mobile device when you visit our website. Our website uses session cookies and persistent cookies. Session cookies enable you to move from page to page within the website and any information you enter to be remembered. A session cookie is deleted when you close your browser or after a short time. Persistent cookies allow the website to remember your preferences and settings when you visit the website in the future. Persistent cookies expire after a set period of time.
We use cookies the following way:
• Google Analytics: We use Google Analytics which provides us with information about how visitors use our website. Google uses cookies as part of the process to collect anonymous information, such as the number of visitors to the website, where they are from, the pages they visit and the length of time they have spent on our website.
• Career site: When you access our career site, a session cookie will be placed on your computer. The cookie assists in the online application process and will be deleted when you close your browser.
• Email updates: Our marketing communications use cookies and tracking technology which helps us to assess whether the email updates have been opened, replied, forwarded and links followed as well as to allow you to contact us via an online contact form.
• Social plugin: We use a plugin for the social networks LinkedIn, Facebook, Instagram, Twitter and YouTube, which you can recognise by the logo which is placed on our website. If you interact with this social network, the relevant information will be forwarded and your visit recognised by LinkedIn.

Please note that if you decide to disable cookies, you may not be able to access certain functions of our website or marketing communications. 2.2 Contacting us, job applications and marketing communications
We collect, store and process certain personal information when you contact us via email, telephone, and contact form on our website or post or if you are applying for an open job position at the TFF.
The type of personal information that we may collect includes name and contact details (such as your address, email address and telephone numbers), nationality, business interests, name of an agency, website and for job applicants, employment history and positions held as well as any other information required for us to assess your suitability for the job position you are applying for. Furthermore, we may collect personal information of all kinds from correspondence, contacts and interactions with us.
We may use your personal information to maintain and develop our relationship with you, identify services you may be interested in, to pursue certain development initiatives of the TFF, send you publications and marketing communications and invite you to events.
If you subscribe for our newsletter, events or agents academy, you will be required to provide personal information such as name and contact details, country and city, name of an agency, website.
You can control the information you receive through our marketing communications by using the corresponding option at the bottom of our emails. If you no longer wish to receive emails or newsletters relating to our products, services or events, you can unsubscribe at any time by using such option at the bottom of the email or by contacting our client service.
Where we need to collect information required to fulfil the TFF’s purpose, to answer your queries or requests, to send you marketing communication or other information requested by you, or to fulfil our contractual duties and you fail to provide that information when requested, we may not be able to provide our services as requested by you. Where we need to collect information required for your employment and you fail to provide that information when requested, we may not be able to further consider your employment.
2.3 Membership application
If you request to apply for a membership at the TFF, you may need to provide personal information such as your name, contact details, country, agency, website and affiliation. After that, you will receive the official application form. In this regard, you may need to provide further personal information such as tax number, passport copies, excerpt from the commercial or company register as well as other key indicators of your business or organisation. With your application request and your application you expressly consent to our use of this information. We will use this information to consider your application. We may also use this information to carry out checks to verify the information you provided (including references, background, identity, suitability, excerpts from the debt enforcements register and criminal record checks).
The TFF only processes such personal information to assess your eligibility as a member. Furthermore, we may also process your personal information for analytical and statistical purposes. Such analyses and statistics will not be shared with third parties or made publicly available other than in an anonymized and aggregated form.
2.4 Videos and Podcast
We provide videos and podcast on our website, hosted by third party providers such as YouTube and Spreaker. It is possible that the latter process your personal information. Please refer to their privacy policy for further details.
2.5 Other contacts
Further, we collect and process information about you if you offer or provide products or services to us, if we evaluate your products or services, and generally when you request information from us or provide information to us.
3. How and why we may share your personal information
We may share your personal information collected in the course of your membership, your application or if you otherwise contact us with third persons (such as advisors, authorities and other persons) in Switzerland, the EU or other countries if required or useful for providing our products and services. Further, we may share your personal information with third persons where:
• you have consented to us doing so (where necessary) or the organisation that you work for has obtained your consent for us to do so (where necessary);
• we are under a legal, regulatory or professional obligation to do so (for example, to comply with anti-money laundering or sanctions requirements); or
• it is necessary in connection with legal proceedings or in order to exercise or defend legal rights.
We use third parties who provide products and services on our behalf and may share your information with them, for example banks, insurance companies or technology suppliers who may have access to your personal information when providing software support.
Insofar as we transfer personal data to third parties domiciled outside of Switzerland, we only do so if such countries provide an adequate level of data protection or based on other measures to ensure such a level of data protection according to applicable data protection law.

You will not, in general, have to pay a fee to exercise any of your individual rights as indicated in this section. However, we may charge a fee for access to your personal information if the relevant data protection legislation allows us to do so, in which case we will inform you as required by the law.

We reserve the right to update and change this privacy policy from time to time in order to reflect any changes to the way in which we process your personal information or changing legal requirements. 7. Jurisdiction and applicable law
This Privacy Policy and all matters arising out of or related to this Privacy Policy shall be governed by the substantive laws and principles of Switzerland, under the exclusion of Swiss conflict of laws rules. Any dispute, controversy or claim arising out of or in relation to this Privacy Policy, including the validity, breach of termination thereof, shall be subject to the exclusive jurisdiction of the competent Courts of the City of Zurich, Switzerland.
